Quest PMS : The proposed PMS is to be a comprehensive product covering the whole gamut of operations associated with individual hotels and/or hotel chains. The solution is to be built with best of the breed technologies that are best suited for meeting the specific functional requirements. The solution will encompass the following broad modules:
 
Security Module where user creation, user management, access control definitions, audit trail reports, usage reports will be available.
Set-up Modules, which essentially have interfaces for setting, up/configuring various modules. These are like the Masters for configuring the Hotel Room Layout, Room Type settings, Tariff Plans, Applicable Taxes, Definition of various services like car rentals, Spa etc.
Reservations Module comprising of room availability queries interfaces for handling Walk-in, Telephonic, and Web-based and Central Reservations for rooms, restaurant, Conference Room, Spa and other such central facilities. This module also provides revenue and occupancy forecasts, customer relationship management, discounts and other special offers etc.
Payment Module comprising of Credit Card Payment integration, Cheque Handling, integration with accounting package. As far as Accounting is concerned, this is dependant on the accounting package that is going to be used for integrating the accounts. But for now, the Accounting module discussion is beyond the scope of this document. The Accounting module could be a third party component completely or it could be built from scratch. Specifications will be prepared to ensure that the accounts related information will be stored so that it can be imported into any third party software or into the accounting software, that's going to be built from scratch if at all.
Housekeeping and Maintenance module for scheduling, tracking and room management related activities.
System related housekeeping module covering back-ups, data synchronization, license management etc.
MIS Reports module for various reports.
Detailed specifications for each of these modules along with technical specifications and screenshots wherever applicable are covered separately.

The product cater to the requirements of three broad categories of users
First are the administrator level users who would actually configure the whole software according to the set up and size of the hotel so that the software can be used effectively by various users in the Hotel.
Second is the Staff of the hotel (booking clerks in the counter, service managers, reservation managers etc) who typically uses the system within the hotel premises. These users will access the relevant modules over the web.
Finally, customers themselves can make enquiries on room availability and tariffs and make reservations over the web.
While some of the functional modules related to hotel operations and configuration may need to be deployed only on the intranet of the hotel using client based application, the enquiries and reservations module will need to be deployed on the Internet. It is critical that the Reservation related data is synchronized regularly, in case multiple local servers are maintained for various branches of the hotels, if not totally centralized to ensure availability of accurate and up to date information to all the user groups.

The solution designed will need the flexibility for making independent installations at individual hotels/hotel chains as well as an ability to offer the product on ASP (Application Service Provision) basis from a central web-based server. Multiple hotels/hotel chains can register with the ASP, configure their settings and use the web-based enquiry and reservation modules that can be seamlessly accessed by users from the respective hotel websites.

The product interfaces will have customizable parts where the Client Logo and name can be incorporated. The web interface of the enquiries and reservations module will also have customizable interfaces that can be modified as per the themes/color combinations used in the hotel websites. Overall system architecture will be open to facilitate integration/interfacing with external applications.

The final package needs to be packaged into user-friendly install scripts and should incorporate the licensing mechanisms outlined in the detailed specifications below. The product will have features for pricing based on number of rooms as well, which might require a restriction on the number of rooms that can be added in the room set up. More detailed information about the licensing mechanisms and other related details will be explained in the respective sections in the document.
